Job Description

Objectives:

The Billing Analyst will be an integral part of our Billing and Finance team, specializing in billing and accounts receivable for our wealth management business. The key responsibilities will be maintaining the integrity of the data within our billing systems and ensuring accuracy of our fee billing processes. The Billing Analyst is responsible for performing all aspects of billing for wealth management. This includes the generation of quarterly billing, reconciliation of data between multiple platforms, and collaboration with financial advisors and internal support teams to ensure accurate and timely client billing and advisor compensation. We seek a highly motivated individual with meticulous attention to detail and a focused, strong work ethic. A successful Billing Analyst is a self-starter who will promote accuracy and efficiency within the department.

Responsibilities:

  • Monitor, analyze, and reconcile client account data to ensure billing accuracy and completeness.
  • Maintain accurate client billing profiles and ensure updates are reflected promptly in billing systems.
  • Collaborate with financial advisors and the compliance team to ensure accurate and timely client billing across various investment platforms that comply with industry regulations.
  • Generate and review fee calculations based on assets under management (AUM) and established billing schedules.
  • Perform regular audits to ensure data integrity of billing settings and information between systems.
  • Address and resolve billing discrepancies or exceptions in coordination with advisors and operations teams.
  • Assist in the implementation and optimization of billing software tools and processes.
  • Maintain the advisor compensation billing system and reconcile bi-monthly compensation.
  • Develop and maintain documentation for billing procedures, processes, and controls.
  • Communicate effectively with internal teams and custodians to troubleshoot billing issues and ensure excellent customer service.
  • Provide internal subject matter and primary support for Orion users.
  • Assist with the creation and reorganization of Orion client reports.
  • Support M&A integration activities and billing implementation.

Education/Experience:

  • Bachelor's Degree in Business, Accounting, Finance, or other relevant field.
  • 2+ years of experience in billing, accounting, or financial operations in wealth management.
  • Strong understanding of wealth management fee structures and industry billing practices.
  • Experience using portfolio management systems (Orion required) and CRM systems (Salesforce preferred).
  • Proficient Microsoft Excel skills, specifically Pivot Tables, sumif, vlookup, and xlookup functions.
  • Experience with reconciliations, data integrity audits, and reporting processes.
  • Experience creating and editing reports in Orion is a plus.
